The ICE Base (“ICE”, “we”, “us” or “our”) respects your privacy and is committed to handling personal information responsibly. ICE operates across New Zealand, Australia and Singapore, and this policy is designed to meet the requirements of the New Zealand Privacy Act 2020, the Australian Privacy Act 1988 (Cth) and Australian Privacy Principles, and Singapore's Personal Data Protection Act 2012 (PDPA), as well as the privacy laws of any other jurisdiction in which we operate.

By using our website or engaging our services and providing us with personal information, you agree to the handling of that information as described below.

Which entity holds your information
Depending on where you are based and which ICE service you engage with, your personal information may be collected and held by our New Zealand entity, ICE Professionals New Zealand Limited, our Australian entity, ICE Professionals Australia Pty Limited, or our Singapore entity, ICE Straits Consultancy Pty Limited. These entities are referred to together as “ICE” in this policy, and apply the same standards of care to your personal information regardless of which entity holds it.
Where the PDPA applies to the handling of your information, we rely on the consent, deemed consent, or other lawful bases for collection, use and disclosure recognised under that Act, and you have the rights available to you under it, including the right to withdraw consent and to access or correct your personal data.
Where the Australian Privacy Act and Australian Privacy Principles apply, we handle your personal information in line with those principles, including in relation to how we collect, use, disclose, store and allow access to it.

This is not an exhaustive list, and the information we hold may grow over time - for example, where we make enquiries of referees you have provided, or where a client shares feedback with us about your application or placement.
You may ask us at any time for a copy of the personal information we hold about you, or ask us to delete it, and we will do so unless we are required to retain it for legal or regulatory reasons.
How we use and share your information
Depending on the nature of our relationship with you, we may collect and use additional information - including:
Enquiries we make of former employers, referees, colleagues or professional bodies;
Results of any competency, skills or other assessments carried out as part of a recruitment process;
Feedback on your performance or suitability from clients or hiring managers;
Any further information you choose to share with us.
We use this information to assess your suitability for roles, manage the recruitment or consulting engagement, and support our ongoing services to you or the organisation you represent.
We may disclose your personal information to:
Prospective or actual employers and clients we work with on your behalf;
Other ICE team members involved in sourcing or managing relevant opportunities, wherever in our NZ, Australian or Singapore operations they are based;
Service providers who support our operations (for example, IT and hosting providers), under obligations to protect your information;
Any person or body legally entitled to request it.
We do not sell your personal information, and we do not share it for purposes unrelated to recruitment, consulting, or the operation of our services, without your knowledge.
If you choose not to provide certain information, we may not be able to progress your application or fully deliver our services to you.
Staying in touch
We may contact you by phone, email or other means you provide in order to update you on an application or engagement, respond to an enquiry, seek your consent to put you forward for a role, or share relevant insights and opportunities.
If you receive marketing or promotional communications from us and no longer wish to, you can unsubscribe at any time by emailing info@theicebase.com with “Unsubscribe” in the subject line. Please allow up to 14 days for this to take effect.
Correcting or deleting your information
If any personal information we hold about you is inaccurate or out of date, you can ask us to correct it by emailing info@theicebase.com with “Personal Data” in the subject line. If you would like your information deleted, let us know in the same way and we will take reasonable steps to remove it, unless we need to retain it for legal reasons.
Storage and security
We take reasonable steps to keep the personal information we hold secure, accurate and up to date, including storing it on protected servers and requiring our people and service providers to keep it confidential.
No transmission of data over the internet can be guaranteed to be completely secure, so while we work hard to protect your information, we cannot promise absolute security.
As ICE operates across New Zealand, Australia and Singapore, your personal information may be transferred between our entities in those countries, and stored or processed by systems and service providers located in any of those jurisdictions, or elsewhere. Where we transfer personal data outside Singapore, we take steps to ensure it receives a standard of protection comparable to that required under the PDPA. Wherever your information is held, we remain committed to safeguarding your privacy in line with this policy.
